Producer Dashboard
The Producer Dashboard is the landing screen after Google sign-in and provides a high-level view of all work.
- Filtering: toggle between In Progress and Archived projects to declutter the dashboard.
- View Modes: switch between a card based list and a calendar view using the list/calendar toggle.
- Sorting: organize projects by date or name via the sort selector.
- New Project: create a project with the New Project button. After creation, you are prompted to add personnel.
- Project Personnel: each project card includes a button that aggregates all personnel added to any shoot in the project.
Projects & Shoots
Within a project you manage individual shoots, typically one per day of production.
- Create, edit, clone or delete shoots directly from each project card. Cloning copies shot lists, personnel and key info for quick setup of subsequent days.
- Daily Report and Export Call Sheet actions are available to admin users from each shoot card.
Shoot Dashboard
The Shoot Dashboard is split into two primary views:
Live View
- Main Status Card: reflects the current set status with color coded feedback.
- Department Status: admins toggle departments between Standby and Ready; once all are ready an “ALL DEPARTMENTS READY” banner appears.
- Now/Next Display: shows the current and upcoming shot, visible in the header and for mobile.

Messaging & Commands: real-time chat supports reactions and
admin commands like
@alert,@note,@logand@all. - Admin Banners: special states such as Hot Set, Set Hold with a reason, Company Move and timed Breaks display persistent alerts across the dashboard.
Prep View
- Shot List & Now/Next: drag-and-drop shot ordering with completion tracking that feeds the Now/Next display.
- Cast & Crew: track every person’s contact info, call times and on-set status such as “Off Set”, “Traveling”, “On Set” or “Wrapped”.
- Call Sheet & Logistics: set crew call, lunch, weather, location address, site contacts, Wi‑Fi and nearest hospital.
- Department Notes: persistent instructions per department which automatically populate the exported call sheet.
LIFX Lighting Integration
SetDots can trigger LIFX smart lights to mirror set status changes.
- Generate a personal access token at the LIFX Cloud.
- Obtain a selector for the light(s) to control (e.g.
allor a specific ID). - Open Settings in SetDots and enter the token and selector.
- When the set status changes to “Rolling” or “Cut” the configured light updates in real time.
Typical Workflow
A streamlined day on set using SetDots:
- Pre-production: create a project and schedule shoots.
- Prep: build shot lists, add cast & crew, fill in call sheet info and department notes.
- Shoot Day: monitor the Live view for status, department readiness and messaging while Now/Next keeps everyone aligned.
- Wrap: archive shoots or entire projects and export the call sheet or daily report for records.
